Last Updated: 9 June 2026
Our collection and use of personal data is described in our Privacy Policy. By using the Service, you acknowledge that you have read and understood the Privacy Policy.
PLEASE READ THESE TERMS OF SERVICE ("TERMS") CAREFULLY BEFORE USING THE APPLICATION.
These Terms of Service govern your access to and use of DentiPlanner provided by DentiEasy Solutions LTD, referred to as "we," "us," or "our." By creating an account, accessing, or using the App, you agree to be bound by these Terms.
If you do not agree with these Terms, do not use the App.
Eligibility
You must:
- Be at least 18 years old, and
- Have legal authority to bind any entity on whose behalf you create an account.
The Service is currently available only to eligible users in supported launch countries or regions. You must not create an account, subscribe to, or use the Service unless you meet the role, country, professional, and legal eligibility requirements shown in the App, website, checkout flow, or these Terms.
For Dentist accounts, you must be a licensed dental practitioner, dental professional, or otherwise legally authorized to use clinical dental software in a supported country or region. If you are not licensed, authorized, or legally permitted to use the Service in your country, region, or professional role, do not subscribe to or use the Service.
By creating an account, subscribing, or using the Service, you represent and warrant that you meet these eligibility requirements and that your use of the Service complies with all applicable professional, clinical, privacy, and data-protection laws.
| Interface | Intended Users | Additional Eligibility Requirements |

Description of Services
The Service is a cloud platform offering three dedicated user interfaces that interoperate securely:
- Dentist Interface: Provides electronic dental, periodontal, orthodontic, restorative, and prosthodontic charting; case creation; imaging upload; treatment planning; and secure messaging with labs and patients.
- Lab Interface: Enables laboratories to receive digital prescriptions/cases, exchange design files, update production status, and return final prosthetics data to the associated Dentist Interface.
- Patient Interface: Allows patients to view treatment plans, payments, appointments, and reminders.
Other core functions common to all interfaces include: appointment scheduling, automated reminders (push notifications/email), Supabase-backed storage, analytics, and practice-management tooling. Paid add-ons such as extra storage are billed separately as shown in your in-app billing panel.
User Accounts and Security
You are responsible for (i) all activity under your credentials, (ii) safeguarding your passwords, and (iii) promptly notifying us of any unauthorized use. We may suspend or terminate accounts we reasonably suspect are compromised. We are not liable for any loss or damage arising from your failure to secure your account.
Device, Session, and Account Security Limits
To protect account security, patient data, billing information, and the Service from unauthorized access, credential sharing, excessive use, or abuse, we may apply limits to the number of devices or active sessions that can use an account at the same time.
Dentist and Lab accounts may be signed in on up to three (3) active devices or sessions at the same time, unless the applicable plan or purchased add-ons include a higher session allowance.
Patient, Supplier/Trader, and Laboratory Showcase accounts may be limited to one (1) active device or session at a time, unless we expressly provide a higher allowance.
Where available, Dentist accounts may purchase additional active session allowances for authorized use of the same account under their admin-managed access settings. Lab accounts may purchase additional active session allowances where supported by the applicable plan or billing options. Additional session allowances permit more simultaneous authorized access, but do not permit public sharing, resale, unauthorized access, automated misuse, credential compromise, or use outside the Service's intended clinical, laboratory, administrative, patient-care, listing-management, or operational purposes.
You are responsible for keeping your login credentials secure and for all activity carried out under your account. If we reasonably suspect unauthorized access, compromised credentials, credential sharing, automated misuse, excessive use, abuse, or other activity that may threaten account security, patient data, billing integrity, or the Service, we may require re-authentication, end active sessions, limit new sign-ins, restrict functionality, suspend access, or take other reasonable protective measures.
Session limits are security, account-protection, and fair-use controls. They do not reduce your responsibility to ensure that anyone using the account is properly authorized, appropriately supervised, and using the Service only for lawful and permitted purposes.
Privacy and Data Protection
Your privacy is important to us. Please review our [Privacy Policy] to understand how we collect, use, and safeguard your personal and patient data.
If you are a healthcare provider, you are solely responsible for ensuring that your use of the App complies with all applicable privacy and data-protection laws and regulations, including the UK GDPR, EU GDPR, and any applicable local healthcare privacy laws.
DentiPlanner is not currently offered as a HIPAA-compliant service and we do not enter into HIPAA Business Associate Agreements unless separately agreed in writing. Customers must not use the Service in a way that requires HIPAA compliance unless we have expressly confirmed HIPAA support and signed an applicable Business Associate Agreement.
If you are a clinic or lab, the Data Processing Agreement (UK GDPR) applies to our processing of Patient Data on your behalf.
Acceptable Use
You agree NOT to:
- Violate any law or regulation, including healthcare, privacy, export-control, sanctions, or professional-licensing laws applicable to your use of the Service;
- Upload or transmit malicious code, viruses, or any material intended to disrupt, damage, or gain unauthorized access to systems or data;
- Reverse-engineer, decompile, attempt to extract source code, or bypass security, authentication, or access controls of the Service;
- Use the Service to send spam, unsolicited marketing, or unlawful communications;
- Infringe any third-party intellectual-property, privacy, or publicity rights, including uploading content you do not have permission to use;
- Scrape, harvest, or systematically collect data from the Service, share accounts or credentials, or conduct penetration testing, vulnerability scanning, or security testing without our prior written consent.
Professional Listings and Directory Features
Certain features of the Service allow laboratories, suppliers, and other professional users to publish business profile information, logos or images, pricing, and service descriptions visible only to authenticated users within the platform.
These features function solely as private professional directories for informational and promotional purposes. DentiEasy Solutions LTD provides platform infrastructure only and does not act as a broker, marketplace operator, intermediary, or participant in any transaction or relationship between users.
DentiEasy Solutions LTD:
- does not verify, endorse, or guarantee listings, credentials, qualifications, pricing, availability, or quality;
- does not participate in communications, negotiations, orders, payments, or agreements unless explicitly stated within a specific feature; and
- may remove or restrict listings that violate these Terms or applicable law.
Users are solely responsible for conducting their own due diligence and for any interactions or agreements made outside the platform.
Secure Clinical Messaging and Collaboration
Separate features of the Service may allow secure messaging and file exchange between authorized clinical users (such as dentists and dental laboratories) for case coordination and operational purposes.
These communications are provided as a technical communication tool only.
DentiEasy Solutions LTD:
- does not monitor clinical content except as required for security or legal compliance;
- is not a party to any clinical decision, treatment plan, agreement, or transaction between users;
- does not validate the accuracy, legality, or appropriateness of user-generated content.
Users remain fully responsible for ensuring that any patient data shared through the Service is transmitted lawfully and with appropriate authorization.
You agree NOT to use messaging or file-sharing features to:
- send unlawful or abusive content;
- share patient data without appropriate legal authority or consent;
- transmit content unrelated to legitimate clinical or operational use of the Service.
Enforcement
We may suspend or terminate access to the Service, remove content, or restrict functionality if we reasonably believe you have violated this Acceptable Use section, the Terms, or applicable law.
Use of any directory, showcase, or messaging feature is at your own professional discretion. DentiEasy Solutions LTD is not responsible for verifying user credentials, qualifications, or representations.
Intellectual Property
The Service, including its software, source and object code, user interface, designs, layouts, workflows, text, graphics, logos, trademarks, service marks, documentation, databases, and other content and technology, and all intellectual property rights in them, are owned by or licensed to DentiEasy Solutions LTD and are protected by copyright, trade mark, database, and other applicable laws.
Subject to these Terms, we grant you a limited, non-exclusive, non-transferable, non-sublicensable, revocable right to access and use the Service solely for your internal professional, business, or personal use in accordance with the Service's intended purpose. Except as expressly permitted by law or these Terms, you may not copy, reproduce, modify, distribute, create derivative works from, sell, lease, sublicense, reverse engineer, decompile, or otherwise exploit any part of the Service.
As between you and us, you retain ownership of the data, records, files, images, messages, and other content you upload or submit to the Service, including Patient Data, subject to any rights of patients or other third parties. You grant us a limited, non-exclusive right to host, store, reproduce, transmit, process, back up, secure, and otherwise use that content solely as necessary to provide, maintain, support, secure, and improve the Service, and as otherwise described in our Privacy Policy, Data Processing Agreement, and applicable law.
If you provide suggestions, ideas, feedback, or recommendations regarding the Service, you grant us a perpetual, irrevocable, worldwide, royalty-free right to use and incorporate them without restriction or obligation to you.
Patient Data and Consent
You must (a) obtain all legally required authorizations from patients before uploading their data; (b) comply with all professional, ethical, and legal duties (e.g., informed consent, record retention); and (c) promptly honor any patient's lawful request for access, amendment, or deletion of their data that you control.
Subscription Fees, Storage, and Add-Ons
Pricing and features are listed on our pricing page. Subscriptions renew automatically each billing cycle until cancelled. If a free trial is offered, it ends automatically and your subscription begins unless you cancel before the trial ends. You can cancel at any time from your account settings; cancellation takes effect at the end of the current billing period. Fees are exclusive of applicable taxes. Usage-based overages are billed in the next billing cycle. Except where required by law, no refunds are provided for partial months or unused time.
If a payment attempt fails, we may place the account into a billing-delinquency workflow. During the first five (5) days after the initial failed payment attempt, the account may remain fully accessible while billing warnings are displayed. During the next five (5) days, we may limit the account to read-only access. If payment is not resolved within ten (10) days after the initial failed payment attempt, we may suspend the account and restrict access to the Service, except for billing-management, payment, support, and data-export features.
We may retry failed payments using our payment processor and may recover outstanding amounts in accordance with the billing settings applicable to your subscription. Restoration of normal access may occur after outstanding charges are successfully paid and account standing is restored.
Patient Portal Availability
Where patient portal access is included with an eligible paid Dentist Interface plan, linked patients may be provided access at no additional charge. This access is intended for reasonable, normal use by patients to view selected information, submit permitted requests, and use patient-facing features made available by the dental practice.
DentiEasy Solutions LTD may introduce limits, fair-use controls, separate pricing, usage-based charges, or changes to patient portal availability in the future where this is reasonably necessary due to operational costs, platform abuse, infrastructure limits, legal requirements, product changes, or commercial sustainability.
Any material change to patient portal pricing or availability will be communicated in advance where reasonably practicable. Existing users may be required to accept updated terms before continuing to use affected features.
Suspension, Archived Data, and Retention
If an account is suspended for non-payment, we may keep the workspace data in an archived and recoverable state for up to ninety (90) days from the effective date of suspension to allow reactivation, billing resolution, support handling, legal compliance, and data export. During this archived period, access to the Service may remain blocked or limited, but billing-recovery, support, and export tools may remain available.
After the archived recovery period ends, we may delete or irreversibly anonymize data that we are not legally required to retain. We may continue to retain limited categories of data where required or permitted by applicable law, regulation, tax and accounting obligations, fraud-prevention needs, security purposes, dispute resolution, or the establishment, exercise, or defense of legal claims. Retention periods may vary by data category and jurisdiction.
Termination
We may suspend, restrict, or terminate your access to the App if you violate these Terms, applicable law, or attempt to obtain pricing, benefits, or access through misrepresentation, fraud, abuse, or other unauthorized means.
Suspension for non-payment is not the same as termination for breach or fraud. Where suspension results solely from non-payment, we may preserve the account in an archived and recoverable state for a limited period as described below.
Disclaimers
The App is provided on an 'as available' basis. We work hard to keep the service reliable and secure, but occasional interruptions or issues may occur. We do not warrant that the App will be error-free.
The App does not provide medical advice, diagnosis, or treatment recommendations. Any content or features are for informational and administrative purposes only and do not replace professional judgment. Dentists and clinicians are solely responsible for all clinical decisions and patient care.
Dental Lab Marketplace Disclaimer
The Dental Lab Marketplace is provided for informational and advertising purposes only. Listings are submitted by third-party dental laboratories or their representatives and may include business details, images, pricing, and service descriptions. DentiEasy Solutions LTD does not verify, endorse, or guarantee the accuracy, completeness, quality, pricing, availability, or legality of any listing. Any "verified" label, if shown, indicates only that a basic verification step (such as email or phone confirmation) has been completed and does not constitute professional certification, endorsement, or quality assurance.
All communications, negotiations, agreements, services, deliveries, and payments between dentists and laboratories occur outside the DentiPlanner application and are solely the responsibility of the parties involved. DentiEasy Solutions LTD does not act as a broker, agent, intermediary, or participant in any transaction and assumes no responsibility for disputes, claims, damages, or losses arising from interactions with listed laboratories.
Users are solely responsible for conducting due diligence, verifying qualifications, and ensuring that any laboratory services comply with applicable laws, regulations, and professional standards. Use of marketplace information is at your own risk.
DentiEasy Solutions LTD may remove or restrict listings that violate these Terms or applicable law but is not obligated to monitor or review listings prior to publication.
Changes to the Terms
We may update these Terms from time to time. Continued use of the App after changes become effective constitutes your acceptance of the revised Terms.
English Language Controls
The English version of the App, including all features, content, policies, notices, documentation, and communications, is the official and controlling version. Any non-English translations (current or future) are provided for convenience only and may be incomplete, inaccurate, or out of date. We do not guarantee the accuracy of translations, and we are not responsible for reliance on any non-English version. In the event of any conflict, ambiguity, or inconsistency, the English version will prevail.
Governing Law and Dispute Resolution
These Terms are governed by the laws of England and Wales, without regard to conflict-of-laws rules. Any dispute arising from these Terms or use of the App will be resolved through the courts located in London, England.
Service Availability and Maintenance
We may modify, suspend, or temporarily discontinue the App (in whole or in part) for maintenance, updates, security, or operational reasons. We will use reasonable efforts to provide advance notice where practical.
Security
We use reasonable technical and organisational measures designed to protect the Service and user data. No system can be guaranteed 100% secure.
Third-Party Services
The App may rely on third-party services for hosting, storage, payments, email delivery, push notifications, routing, and related service operations. Those services are provided under their own terms, and we are not responsible for their availability, performance, or actions.
User Content and Responsibility
You are responsible for all data and content you upload, including ensuring you have all rights and consents to use it. You grant us a limited, non-exclusive license to host, process, and transmit your content solely to provide the App.
Indemnification
You agree to indemnify and hold harmless DentiEasy Solutions LTD and its affiliates from any claims, damages, losses, and expenses (including reasonable legal fees) arising from your use of the App, your content, or your violation of these Terms or applicable law.
Limitation of Liability (Cap)
To the fullest extent permitted by law, DentiEasy Solutions LTD shall not be liable for any indirect, incidental, consequential, or loss-of-profit damages arising from use of the Service.
Our total aggregate liability shall not exceed the total fees paid by you in the twelve (12) months preceding the claim.
Force Majeure
We are not liable for any delay or failure to perform due to events beyond our reasonable control, including outages, natural disasters, acts of government, labor disputes, or internet or platform failures.
Export and Sanctions Compliance
You agree to comply with all applicable export control and sanctions laws and will not use the App in any restricted or prohibited jurisdiction.
Assignment
You may not assign or transfer your rights under these Terms without our prior written consent. We may assign our rights and obligations without restriction.
Severability
If any provision of these Terms is found unenforceable, the remaining provisions will remain in full force and effect.
Pricing and Regional Availability
Subscription fees may vary by region, country, or market. We may offer different pricing tiers or promotional rates based on location. The pricing applicable to your account will be displayed at the time of purchase and will remain in effect for the duration of your billing period unless otherwise stated.
To determine the pricing region applicable to your account, we may use the billing country verified through our payment processor (such as Stripe). Once your billing country has been successfully verified, it may be locked to your account for pricing purposes and used for future subscription purchases unless and until it is reset by us or re-verified through an authorized support process. Using a different payment method or card does not automatically change your account's pricing region. If your verified billing country was incorrect or you have genuinely relocated, you may contact support to request review, reset, and re-verification before a new pricing region is applied. We may refuse checkout, suspend access to regional pricing, or restrict accounts where we reasonably suspect misrepresentation, abuse, or attempts to circumvent pricing verification. For customers in the European Economic Area (EEA), pricing is uniform across EEA countries.
We may request additional information, restrict access, suspend, cancel, refuse checkout, or refuse service where we reasonably believe an account is ineligible, misrepresented, unauthorized, abusive, or creates legal, security, payment, billing, professional, or patient-data risk.
Entire Agreement
These Terms, together with any referenced policies, constitute the entire agreement between you and us regarding the App and supersede any prior agreements or understandings.
Cancellations
You may cancel your subscription at any time through your account settings. Unless required by applicable law or expressly stated otherwise at the time of purchase, subscription fees are non-refundable and we do not provide prorated refunds for partial billing periods. Your subscription will remain active until the end of the then-current billing period.
Clinical Collaboration and Patient Access Features
The Service includes secure tools that allow clinics, dental laboratories, and patients to exchange or access case-related information, including messages, files, approvals, and sync-based access connections, for clinical coordination, patient engagement, and operational workflows.
These features are provided as technical communication and access tools only. DentiEasy Solutions LTD provides the technical infrastructure for these features but:
(a) does not monitor clinical content except as required for security, abuse prevention, legal compliance, or operation of the Service; (b) is not a party to any treatment decision, clinical judgment, professional instruction, consent relationship, agreement, or transaction between users; and (c) does not verify the accuracy, legality, completeness, appropriateness, or professional suitability of user-generated content, sync requests, recipient selections, approvals, or data shared through the Service.
Users remain fully responsible for ensuring that any patient data shared, made accessible, approved, synced, transmitted, or disclosed through the Service is lawful, properly authorized, clinically appropriate, and directed to the correct recipient. Use of these features is at your own professional discretion and responsibility.
You agree NOT to use these features to:
(a) share or disclose patient data without appropriate legal authority, consent, or other valid basis; (b) approve, activate, or maintain access for any person or entity not properly authorized to receive the data; (c) send unlawful, abusive, misleading, or inappropriate content; or (d) use the Service for purposes unrelated to legitimate clinical, patient-care, administrative, or operational use of the Service.
Our secure sync workflow is a technical safeguard only and does not replace the user's own verification, authorization checks, or professional judgment.
Collaboration, sync-based access connections, and shared workflow visibility may become read-only, restricted, blocked, or permanently ended as part of billing-delinquency handling, suspension, archival, account-deletion, or relationship-termination workflows.
Secure Sync, Recipient Verification, and User Responsibility
The Service includes enhanced security controls designed to reduce the risk of unauthorized or mistaken sharing of data between users, including time-limited invite codes, authenticated account access, and a two-step approval workflow before certain clinical collaboration connections are activated. These measures are intended to provide a high level of technical protection, but they do not replace the user's own professional duty to verify the identity, authority, and appropriateness of the person, laboratory, patient, clinic, or other recipient with whom data is shared.
You acknowledge and agree that you are solely responsible for:
(a) confirming that the intended recipient is the correct and authorized person or entity; (b) reviewing all recipient details and approval prompts before sending, redeeming, approving, confirming, or activating any data-sharing or sync request; (c) ensuring that any disclosure, transmission, sync activation, or access grant is lawful, clinically appropriate, and properly authorized; and (d) all consequences of user error, mistaken selection, mistaken approval, misuse of credentials, internal staff misuse, or sharing initiated or approved by you or under your account.
Where a user sends, redeems, approves, or activates a sync, sharing request, or collaboration connection through the Service, that action is deemed to be the user's own final authorization and confirmation that the recipient and disclosure are correct. To the fullest extent permitted by law, DentiEasy Solutions LTD shall not be responsible for misdirected sharing, mistaken approvals, recipient-selection errors, or other disclosures resulting from user decisions, user negligence, misuse of accounts, or failure to follow on-screen verification and approval steps.
Patient Downloads and Exports
Where the Patient Interface allows an authenticated patient or properly authorised representative to view, download, export, or share their own patient-facing records, reports, files, or other information, that access is provided through a user-initiated workflow.
You are responsible for keeping your account secure and for choosing appropriate destinations when downloading, exporting, sharing, printing, or storing information from the Service. Once information has been downloaded, exported, shared, printed, or sent outside the Service at your request, DentiEasy Solutions LTD does not control the recipient, destination, storage location, or onward use of that information.
Patient-facing access may be limited, restricted, or controlled where required to protect third-party rights, minors, clinical confidentiality, security, legal obligations, or the rights and freedoms of others.
Minors and Patient Access
Where Patient Interface access, sync activation, or patient-facing data sharing involves a person under the age of 18, the clinic, dentist, or other healthcare provider using the Service is solely responsible for determining whether such access is lawful, appropriate, and properly authorized under applicable law and in light of the patient's age, capacity, and circumstances.
For patients aged 13 to 17, the Service may be used to provide patient access, but the dentist or clinic remains solely responsible for confirming whether any parent, guardian, or other representative consent, involvement, or authorization is required.
For patients under the age of 13, Patient Interface access or sync activation must not be relied upon as evidence of valid authorization from the child alone where applicable law requires authorization, consent, or involvement from a parent, guardian, or other legally authorized representative. In such cases, the dentist or clinic is solely responsible for obtaining and confirming that authorization before activating access or sharing patient data through the Service.
DentiEasy Solutions LTD does not independently verify age, parental responsibility, guardianship, legal authority, or the appropriateness of granting patient access to a minor. Any activation of patient access, sync approval, or disclosure through the Service is deemed to be the user's confirmation that all required legal and professional checks have been completed.
Laboratory Showcase Listings
The Laboratory Showcase feature allows dental laboratories to publish business profile information for visibility to licensed dental professionals within the platform. This may include business name, contact details, logo or profile image, images of work, and service descriptions.
Listings are visible only to authenticated users with a dentist account, are not publicly searchable, and are shown only to dentist users whose account billing country matches the laboratory's registered billing country.
Listings are published automatically upon submission. DentiEasy Solutions LTD does not review listings prior to publication but may remove or restrict any content that violates these Terms or applicable law.
This feature is informational and promotional only and functions solely as a private professional directory. It does not enable messaging, contracting, ordering, payment processing, or transaction facilitation within the showcase feature.
Laboratories are solely responsible for ensuring that all uploaded content is accurate, lawful, does not include identifiable patient information without appropriate consent, and does not infringe any third-party intellectual property or privacy rights.
Supplier and Trader Listings
The Supplier/Trader Listings feature allows dental suppliers and traders to publish business profile information for visibility to licensed dental professionals within the platform, including business name, contact details, logo or profile image, product images, pricing, and descriptions.
Listings are visible only to authenticated dentist users, are not publicly searchable, and are shown only to dentist users whose account billing country matches the supplier's registered billing country.
Listings are published automatically upon submission. DentiEasy Solutions LTD may remove or restrict content that violates these Terms or applicable law but does not review listings prior to publication and does not verify or endorse any listing, supplier, product, pricing, availability, or quality.
This feature functions solely as a private professional directory for informational and promotional purposes and does not enable messaging, ordering, payment processing, shipping, negotiations, or transaction facilitation within the platform.
Suppliers and traders are solely responsible for ensuring that all uploaded content is accurate, lawful, does not contain identifiable patient information, and does not infringe any third-party intellectual property or privacy rights.
Data Processing Agreement
Where you upload or manage patient data, our Data Processing Agreement applies and forms part of these Terms.
No Medical Advice
The Service is a software platform and does not provide medical, dental, or clinical advice. Clinical decisions remain the responsibility of licensed professionals.
Refund Policy
DentiPlanner is a software subscription service with digital add-ons and digital one-time purchases.
- Subscription fees are generally non-refundable once a billing period has started.
- If you cancel a subscription, cancellation applies to the next renewal date unless otherwise stated. The current paid billing period remains active until its end and is not refunded on a pro-rata basis.
- One-time digital purchases, including add-ons, are generally non-refundable once delivered, activated, or consumed.
- Nothing in this policy limits any non-waivable rights you may have under applicable consumer law. Where refunds are required by law, we will honor those obligations.
- We may, at our sole discretion, issue refunds or service credits in exceptional cases such as duplicate charges, proven billing errors, or other special circumstances.
Support Request Verification
To protect account security and patient data, support requests related to account access, data, or billing must be submitted from the email address associated with the account. We may request additional verification before processing sensitive requests.
App Updates
We may require you to install the latest version of the App in order to continue using the Service. This may be necessary for security, privacy, legal compliance, compatibility, billing, data integrity, or major feature changes. If an update is required, some or all features of the Service may be unavailable until you install the latest version.
